Job Function:

You administratively support ensuring efficient, organized and customer

centric operations of the Talent function. You work proactively and

independently to support both our internal and external customers including the

team & department. You are a detail orientated self-starter, that is

motivated by the success of the team you support!


Responsibility including but not limited to:


Operations & Administration

You administratively support in ensuring efficient,

organized and customer centric operations of the Talent function

Serves as first point of contact to the Talent Team for the NY/NJ SO

Manages group email account ensuring timely, customer centric correspondence and support

Works administratively to support the relevant HR business partners in scheduling steps of the recruitment process, ensuring a high level of customer service and contact throughout the process, keeping candidate engaged (on an as need basis for Support Office recruitment).

Responsible to oversee and direct department organization, routines, workspace, drives and team calendar

Coordinates the daily/weekly work of the team as needed (bookings, ordering, and travel support etc)

Responsible to partner with reception on ordering supplies for the HR team, as needed

Partners with relevant HR partner to coordinate team/department meetings & events; oversees venue, food ordering, planning and all details to ensure a successful & impactful outcome.

Seeks opportunities and develops routines to streamline and improve operations & efficiency of the Talent team

Works collaboratively and fosters open communication between the different business partners and business units we support (directly and indirectly).

Responsible for weekly internal job postings (Just for You); partners with the District & Regional team to collect requests ensuring timely posting of positions.

Approves invoices for the department, and proactively alerts HR Business Controller on discrepancies, and issues as they arise ensuring costs are in line with the budget (created and provided by Country Talent Manager)

Responsible for ordering and inventory of recruitment materials, giveaways, and marketing (including all PoP related materials).


in the distribution, tracking and shipment of light boxes and recruitment tents

between Regions & Districts

Responsible for ordering of all printed materials as it relates to the annual/mid-year Dialogue in partnership with the Country Talent Manager & Internal Communications

Supports recruiting and recruitment events on an as need basis (5% of time, or less)

you ensure seamless administration of the platform, users and managers. You support in administrating the Dialogue process by:

Building of the form for the relevant Dialogue period

Training & education of the system, forms and processes

Supporting managers & user to ensure a successful review period

Addressing any glitches, bugs or inefficiency in the platform

Point of contact between Halogen & H&M


you follow up on WOTC compliance, results and status to ensure maximization of the program to drive profit for H&M


you support in the follow up, and communication of Sterling results to relevant business partners. You partner with the Security team for final approval on any flagged results to ensure consistency and compliance.

Partners with HR Business Controller on recruitment tracking & KPIs





Candidate Qualifications:

Bachelor’s Degree or equivalent years of experience

3-5 years’ experience in a recruitment role, and/or other relevant HR function or administration

Multi-Unit experience

Management experience is preferred


Complex calendar management skills

Highly organized and detail oriented

Experience in international & domestic travel booking

Experience in expense management & invoicing

Budget management & follow up

Proven project management abilities

Proven ability to build strong relationships and partnerships

Experience in working cross functionally

Excellent communication skills both written and verbal

Strong sense of drive and urgency

Strong commitment and experience with providing a high level of customer service

Strong professional maturity and the ability to deal with sensitive and confidential information

Self – motivated; ability to work independently and on a team

A strong understanding of the full-cycle recruiting process

Proficient at Microsoft Office and other HR systems including ATS and Internet based systems

Ability to travel at least 10% of the time or less
