JOB SUMMARY

Coordinates and promotes all aspects of group and internet travel (air, tour and cruise) including negotiating space and pricing, marketing departures and accurate accounting. Handles member and customer issues related to group travel and facilitates timely resolutions. Supports Travel Agency Manager with current updated reports of overall Travel Department performance by agents and branch locations. JOB RESPONSIBILITIES

Primary Job Functions:

Develop yearly groups: such as motorcoach, cruises and tours

Contact components / vendors to create group and negotiate prices

Request contracts from the vendors/suppliers for each individual components i.e., hotel, transportation, show tickets, step-on guide, dining options, tours, admissions, etc Once price and itinerary is confirmed, setup group codes with Travel Accounting

Create invoice templates, itinerary and booking instructions for agents to utilize when booking group departures

Visit and train agents on the destination, itinerary and tours

Mark all contract dates such as deposits, final payments, cancellation / penalty info on calendar

Track all dates and tours consistently to review progress and not miss deadlines

Run monthly reports to verify agent bookings and match to vendor reports: such as number of travelers, cabins or rooms requested, pricing, payments, etc.

Once clients are paid in full, forward all payments, dining requests to trip components / supplier

Setup group amenities per the vendor agreements for cruises

Create document packets and forward to the booking agent no later than two weeks prior to group departure

Prior to motorcoach departures, prepare “Roadster” letters, bags and lanyards; and create after-tour client surveys for motorcoach trips,

Be prepared to escort a select number of motorcoach tours

Assist with travel events (i.e., Cruise Night, Disney Day, Motor coach Previews)

Assist Travel Agency Manager with creating and maintaining updated reports of Travel agency staff’s performances in sales and commissions by agent and branch on a monthly basis

Assist Travel Agency Manager with creating and maintaining updated reports of top 5-10 vendor sales by agent, branch and club to include percentages on a monthly basis

Assist Travel Agency Manager with creating and maintaining updated reports

Assist Travel Agency Manager with creating and maintaining updated reports of Travel staff rankings in total sales and commissions; Pleasant Holidays sales and commissions; and quality service scores on a monthly basis

Work with selected “Top Producers” in the Travel Agency to assist with mailing brochures, customer forms for signatures, and “Welcome Home” cards/letters

Prepare orders / supplies and divide for branch locations

Assist with branch coverage when needed as a travel agent including weekends.

Performs other duties as assigned

Helping out others on the team and being a good team player; building smooth, cooperative working relationships.

Dealing effectively with high volume and time pressure; displaying a positive, caring attitude with each new member.

Adapting to change and being flexible in adjusting approach to meet the needs in different situations; rotating among job functions as needed.

Using Travel Reference Materials –

Displaying extensive knowledge of the travel industry, and knowing how to quickly locate and use reference materials.

Computer and Technology Skills –

Using the computer to enter accurate and complete trip information; carrying on conversation with member and entering data simultaneously. Utilize Microsoft Excel spreadsheets to manage group manifests and client information for group travel.

Selling Travel Products and Services –

Asking questions to qualify and understand member’s travel interests and needs, and successfully closing the sale; displaying organizational pride.
