**MEMBERS ONLY**SIGN UP NOW***., Inc. is recruiting for a Travel Coordinator/Admin Support position within the Senior Environmental Employment (SEE) Program ( 55 years of age or older
) that provides support to the United States Environmental Protection Agency (EPA) in Washington, DC.
Role and Responsibilities:
Provide
technical/administrative
support for the Federal Advisory Committee Management Division (FACMD).
Answers incoming telephone calls to the Federal Advisory Committee Management Division (FACMD) and exercise independent and appropriate judgment and action in response to inquiries about technical and administrative FACMD products, activities, policies and procedures. Refers inquiries to the appropriate staff person if necessary. Screens all telephone calls and visitors for the FACMD Office Director and completes business when possible without referring to the Director. Uses information from website and FAC Handbook to answer questions on FACMD products and initiatives.
Support FACMD in the preparation of bi-monthly meetings, this includes working with the division to prepare agenda, topics of discussion, and meeting minutes that are captured using Microsoft OneNote and stored on the shared G drive.
Coordinates all meetings, briefings, conference and teleconferences for the FACMD Director using a Microsoft Outlook Calendar application. Notifies participants, assists in the preparation of agendas, assembles briefing materials and other documents, and prepares mailings as directed by the FACMD Director and staff.
Works closely with the four FACMD managed federal advisory committees, the Designated Federal Officers (DFO's) on committee matters. Manage registration table during meetings and be available for assistance the duration of the conferences. Prepares travel documents and request before and after committee meetings using travel database. Track status of member travel and update travel voucher spreadsheet regularly. Send travelers authorization and reimbursement guidelines. Prepare electronic packets w/voucher, travel expense form. Prepare self-addressed envelopes and additional members receipts envelopes. Complete all travel vouchers (5 days after meeting). Prepares briefing materials and manages Federal Register notices for upcoming meetings.
Tracks and monitors budget for the federal advisory committee DFO that he/she is responsible for supporting. Budget information is captured using Microsoft Excel.
Review the FACMD website to ensure that information posted is accurate and current.
Using a Microsoft Outlook Calendar application, the Enrollee coordinates the scheduling of conference rooms for FACMD and other OARM office use.
Acts as a liaison between FACMD by providing advice on administrative procedures, requirements, and other matters necessary to implement the FACA directive's, policies, and guidance.
Provides records management support of files in work spaces and office support directly to the FACMD Director as requested. Orders supplies and manage supply list. Process evaluation forms from various meetings.
Qualifications and Education Requirements:
Successful candidates must meet the age criteria of being 55 years of age or older and eligible to work in the United States; able to pass a Federal Background check; BA/BS(desirable); Minimum 10 years of related experience in Business Administration, Executive Administration Assistance, Public Administration, etc.; Evidence of a broad understanding of the purpose, mission, goals, and objectives of advisory committees; and the ability to interact with groups of professionals that may be from various levels of federal, state, local, and/or tribal governments, academia, industry, and/or the public. Must have good interpersonal skills and appropriate assertiveness and initiative to interact with Agency higher level managers and staff in a fast-past environment. Must be flexible and willing to support special projects. Familiarity with locating and storing electronic files on shared drives. Proficient with cutting and pasting large amounts of information. The person MUST already be adept at working in a windows environment, finding and extracting information form one window and entering it carefully and correctly into another one.
Hours & Compensation:
Full-Time position working 40 hours per week @ $27,560 per year ($13.25 per hour), plus benefits including paid health insurance and generous vacation/ sick/holiday leave.
