Reach Your Peak.Hyatt Place Keystone Reservations Coordinator\u00a0Job DescriptionPOSITION PURPOSE: Execute all reservations tasks and responsibilities including group, transient, and wholesale.\u00a0Provide personalized service to ensure all reservations requirements are handled professionally, accurately, and in a timely manner. This role is the property's in-house reservations department and is responsible for the oversite of the daily operation.\u00a0KEY RESPONSIBILITIES:\u00a0Build and maintain accuracy of group blocks into Opera/Reserve including cutoff date, room pick up, room type, suite blocks, rates etc.Ensure accurate billing set-up for prompt and accurate processing.Ensure appropriate inventory and information is available for individual call-in groups via all designated booking channels.Set up and maintain master file for each group with pertinent information, including but not limited to approved changes applied to the group and documented conversations with clients, convention service managers and sales manager.Monitor group pick up, cut-off dates, rate and room type availability to maximize hotel revenues and client/guest satisfaction. \u00a0Audit all assigned group blocks, room rates and concessions against Opera per contract once group has turned definite.Update/Communicate as necessary as group room pick-up and/or cut-off date approaches.Request Hyatt Reservation Group Link to Hyatt Data Services as necessary.Submit World of Hyatt meeting planner points and bonus points when applicable at departure. Communicate details with Convention Services and meeting contact.Enter all reservations (Group/Transient/Wholesale) that require manual entry (rooming lists/Vail Resorts' channels, etc)Assist with Reservation questions from Hyatt call center, Cen Res, OTAs, Wholesale, etcEnsure all appropriate information is available for individual call in groups.Daily Reservation responsibilities including reviewing lists for Duplicates, errors, requests, etc.Work with Hyatt Data Services to build and maintain rate plans/offersRoom blocking (assigning) as necessaryWork with Keystone's Inventory Specialists to assist with room/reservation moves between properties as needed.Balance Room inventory in Opera to ensure optimum availability for both Group and FIT guests.Coordinate all group activity and information, including processing of reservations, rooming lists, advance deposits, and group resumes to necessary departments.Review rooming lists for accuracy of information, format and billing requirements.Facilitate special requests using Opera as well as direct property communication.Serve as liaison with accounting department to ensure all billing requests are configured and executed as necessary.Prepare and distribute all necessary reports for hotel's Group Pick-Up Meeting.Lead Pick-Up Meeting discussion around pickup, forecasting, and group needs.Provide Production Reporting as requested/needed.Communicate effectively and in a timely manner to Revenue Management, Conference Services, Conference Sales, Accounting and operation teams any information received that could impact the performance of each group.Enter consumed group rooms into Envision.Other duties/responsibilities as assigned\u00a0SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES: The individual must possess the following knowledge, skills and abilities: \u2022 Relevant experience in Reservations and/or Front Desk.
