Duties include, but not limited to, the organization of all aspects of staging jobs including support of show managers, tracking and updating all upcoming events, scheduling and staffing of staging events, hiring freelance labor, sub-rental POs, travel, and/or other related functions. Enforces department policies and procedures and sets workflow priorities and standards, performs tasks which require advanced skills in organization and planning.
Assist the Labor Manager in the following:
Identify, negotiate/search, secure and document labor and travel requirements for all events and projects.
Enters field staff assignments in the company calendar.
Notifies Project Managers of show assignments
Monitor all event budgets to determine labor and travel needs. Document the labor needs in a labor grid. Book labor as requested by authorized personnel as it relates to airfare/train, hotels, and per diem.
Be proficient in the processes of the Operations Department in the areas of timesheets, labor orders, and purchase orders.
Accurately complete all paperwork in a timely matter related to the job of Labor Coordination, including call sheets, labor orders, labor grid, travel purchase orders, and un-reconciled labor invoices.
Attend all mandatory meetings, such as Production Meetings and Staff Meetings.
Keep appropriate team members and supervisors informed as to progress of work and alerting them to any potential problems or missed deadlines.
Read all completed SSSs (Super Show Sheets) for any feedback that may help perform the job better, or may help WS in presenting a better product for its customers.
Responsible for working with AE/PM’s on entering all labor into R3 needed to properly execute show
Monitors the progress of pending proposals and reports to account management and operations on labor status and show details.
Assist the AE in the quoting process, when requested, by properly assisting with quantity and type of labor needed
Documents and distributes project information as it relates to labor to other departments including Engineering, Operations and Warehousing.
Supports the internal coordination of project elements by working with the operations department to insure consistent job performance
Monitor, apply and refine all S.O.P.s for Operations and Coordination responsibilities.
Learn the roles and responsibilities of all other departments, including where to obtain needed information to ensure the successful pre-production of a show and a successful event.
Adheres to Company regulations (specifically as it relates to policies and procedures as outlined in the Employee Handbook) and duties, is punctual, and is accountable for one’s own actions.
Other duties as needed and directed by the Company.
