Supervise Reservations Department in order to achieve high occupancy and guest satisfaction. ESSENTIAL FUNCTIONS Maintain complete knowledge and comply with all resort and departmental policies and procedures Maintain complete knowledge of computer & manual systems. Serve as liaison to Front Desk, Sales and other departments. Attend weekly interdepartmental meetings to inform managers of projected occupancy levels. Process all reservation requests, changes and cancellations received by phone, fax or mail the same day. Accommodate special requests and designate such in system. Assist Revenue Manager with Ad Hoc Reports. Perform competitor market research on a routine basis to gauge the local industry. Enthusiastically describe room accommodations and all amenities. Access guest history records to best service guests.\u00a0 Designate, properly apply and process travel agency commissions.\u00a0 Set up proper billing accounts (i.e. share-withs, room\/tax\/incidentals, Tax exempt, direct\/special billing) and process advance deposits according to accounting policies and with proper authorizations. Initiate refunds on cancelled reservations. Refer requests requiring seven or more rooms to Sales Department. Create group masters with designated information for each group booking and update changes received from Sales. Monitor group reservation activity daily and communicate status with Sales Monitor waitlist and determine priority of guests to be contacted for room availability. Resolve client complaints regarding reservation policies or billing and offer compensation if appropriate. Promote upselling. Produce weekly forecast. Update rates and availability of rooms through property software systems. Perform all operational and administrative duties.\u00a0 Maintain complete knowledge of: All resort facilities\/services\/hours of operation; All guest room layouts, bed types, decor, appointments and locations; Room availability for any given day; Restricted dates, rates and room types; All room rates, packages and promotions; Entertainment\/special events scheduled in resort. All sister properties and their locations, rates, and availability. Refer incoming guests during sold-out periods to sister properties. Current and future selling status, including all rates and packages Counsel, discipline, and evaluate staff. Oversee departmental training activities. Implement cross training activities to familiarize other departments with reservations. Attend sales meetings, pre-convention and resort staff meetings, as necessary. Perform other duties as directed, developed or assigned. PHYSICAL DEMANDS Frequent or occasional need to perform the following physical activities: reaching, bending, pushing, pulling, twisting, lifting, and climbing. Have frequent need to perform standing and walking activities related to inspecting property.\u00a0 Constant need to perform the following physical activities: grasping, turning, finger dexterity. Occasional need to stand for long periods of time. Lifting\/carrying up to 10 lbs. frequently and 25 lbs. occasionally. Vision requirements: constant need to view small print. Frequent need to see small details and things clearly beyond arms\u2019 reach. Hearing requirements: constant need to speak on telephone and\/or two-way radio, respond to general public and converse with staff.
