Agent, Global Central Reservations Salt Lake City, UT RESPONSIBLITIES: Responding to calls, e-mails, and event reservation generated requests (dashboards) with requests for meeting space, as well as with requests for services in those conference rooms which have already been booked online Specific attention to data integrity capturing all of the request requirements and ensuring they are entered into reservation system in appropriate process Assigning conference space in accordance with the specific requirements of the meeting regarding room set-up, Audio Visual activities, food and beverage service, etc. Space will need to be reserved in conjunction with other meetings already on the books, juggling room assignments so as to emerge with the best fit without wasting valuable conference facilities. Sending initial confirmations in connection with bookings and following up at specified intervals prior to the event to confirm the current status of the meeting, the accuracy of participant counts, the need for special equipment and services, etc. Documenting specific meeting requirements within the event reservation system, where such information will be available to all internal departments responsible for the implementation of such requirements. Implementing and adhering the Food Service approval process and policies. Inputting additional relevant reservation details into the reservation system, including billing information, internal source of business, type of meeting, etc., for financial purposes, as well as future statistical analysis. Providing e-mail or telephone updates to relevant departments regarding new bookings or changes to existing bookings for the next day to ensure on-site teams are able to effectively prepare for last minute requests Serving in a conference consultant role, assisting callers in defining their meeting requirements and then assigning appropriate space to best support those requirements. Developing and maintaining an excellent rapport with clients who call or send e-mails, instilling confidence that their meetings are being handled in a timely, professional and expert manner. Delivery of exceptional Platinum Service culture Creating/building upon a data base of historical information regarding individual client preferences pertaining to meeting rooms, set-ups, Audio Visual activities, food and beverage selections, etc. Adhering to Hospitality signature look. Assisting in other areas of business, including general administrative support, corporate travel, etc., as time and availability permit. Required Skills: The duties and responsibilities described above are the essential functions of the job. HS diploma or equivalent with 4-6 years of relevant administrative/operational support in manufacturing operations or office environment directly related to the duties of the job, OR demonstrated ability to meet the job requirements through a comparable number of years of work experience. May possess additional education certification in this level. Requires excellent knowledge of functional area(s) related to the job or good knowledge related to a professional field of work. Able to consistently apply applicable policies, procedures, regulations, and program objectives when carrying out the duties of the job. May provide oversight of work conducted by junior level staff and/or review/audit work for accuracy. Must have advanced knowledge of technology to include computers and software programs such as MS Office or MAC word processing, spreadsheets or other programs specific to the job in order to complete job duties successfully. Must have excellent oral and written communication skills to communicate effectively across departments when completing assignments. Must have strong organizational skills with ability to manage deadlines and prioritize workload and make adjustment to meet business needs. Must be able to work weekends and holidays.
