CPC Administrative Assistant','317108','!*!As the Administrative Assistant supporting the Central Processing Center in Dallas, this position reports to the Center Manager and requires the ability to handle multiple priorities, anticipate needs and independently handle administrative decisions. The ideal candidate must be able to provide personalized and confidential assistance with discretion and judgment, and must be able to work with little supervision displaying a high level of professionalism when dealing with employees, business leaders and partners. Major Duties and Responsibilities:• Provides critical support to the Central Processing Center and Clearance unit in all areas of administration.• Collaborates with Center Manager, broader leadership team, employees and business partners (Facilities, Human Resources, Dallas branch), to coordinate logistics and operational requirements, this includes supporting interview and new hire orientation onboarding requirements and other center functions.• Creates effective presentations with the appropriate methods of technology/software, including knowledge of Audio/Visual equipment. • Manages CPC calendar to efficiently and effectively schedule and organizes meetings often involving numerous participants, coordinates conference calls, webcasts and other events including technology, attendees, presenters, agenda and associated meeting materials, and distribution of materials prior to and following meetings. • Responds to regularly occurring requests for information.• Participates in and provides administrative support on special projects and events and ad-hoc reporting.• Schedules and coordinates travel arrangements including tracking and processing of expenses, as appropriate.
• Maintain employee staff counts and tracking, reports Metastorm information weekly.
• Draft correspondence, inter-office memos and announcements.
• Schedule appointments; organize meetings for employees and business related events.
This position will be expected to maintain proficiency to process work orders – this includes all aspects to rate, book, and issue policies within CUW. They will be expected to prioritize administrative functions based on business needs and processing work orders to assist with center inventory requirements. They are responsible for maintaining electronic documentation and achieve service and quality goals within the department. The position will interact with underwriting and operations departments in various locations.Qualifications: • Intermediate to advanced proficiency in MS Word, PowerPoint, Excel, Lotus or Outlook and travel & expense systems.• 3 years administrative experience required.• Solid working knowledge of business math concepts & analysis for coding, event planning, accounts payable and expense report management.• Ability to work well under pressure with accuracy and mastery.• Excellent organizational and time management skills, including demonstrated ability to multi-task, independently prioritize work in a high-volume environment, meet deadlines, and exercise excellent decision making skills.• Strong written and verbal communication skills and proven ability to build relationships internally and externally. • Demonstrated ability to serve as a key administrative resource including the ability to research inquiries and provide accurate and timely responses. • Strong interpersonal skills and the ability to communicate with all levels of the organization.• Proficiency in coordinating multiple tasks to meet deadlines.• Proven ability to work independently and proactively address issues.• Ability to exercise discretion and handle confidential information appropriately.
